Beacon® Digital Security Policy
 
1. Purpose
The purpose of this policy is to define the digital security practices maintained by Beacon Industries, Inc., a trusted and engineering solution provider. Beacon is committed to safeguarding all proprietary, client and vendor information through controlled access, encrypted communication and a restricted document-sharing protocol.
 
2. Policy Philosophy
Beacon operates under the principle, digital security is not assumed—it is engineered. This philosophy guides all digital interactions, ensuring that the company’s protective measures prevent security breaches before they occur.
 
3. Document Handling Protocol
All documentation, quotations, specifications and engineering drawings are distributed in PDF format only. Cloud-based document versions (e.g., online Word files, collaborative platforms) are strictly prohibited. Each PDF is reviewed prior to release. Sensitive attachments are transmitted only via verified company email systems or encrypted transmission, never through shared cloud folders or public links.
 
4. Portal Access Policy
Beacon maintains a no third-party portal login policy. Employees and representatives are not authorized to log into external customer, supplier, or vendor portals. Data exchange occurs through direct PDF transmission or through approved Beacon internal systems. This eliminates exposure to external database vulnerabilities and preserves client confidentiality.
 
5. Data Integrity and Client Protection
All files are verified for accuracy and authenticity before release. No unauthorized file-sharing platforms (Dropbox, etc.) are permitted for Beacon communications. Clients are advised to retain and reference only official Beacon PDF documents to ensure version accuracy.
 
6. Vendor and Client Coordination
Beacon coordinates successfully this PDF-only and no-portal-access policy. This policy ensures consistency with database management policies.
 
7. Exceptions and Enforcement
Any deviation from this policy requires written approval from Beacon’s Executive Management and Security Administrator. Violations or unauthorized logins will result in disciplinary action and may lead to termination of vendor or customer engagement.
